1.1. These Terms & Conditions, along with the specified itinerary and invoice, form the contract between you (the Client) and East Africa Safari Guides Limited (hereinafter “the Company,” “we,” “us,” or “our”).
1.2. A booking is confirmed and legally binding once the Client has paid the required deposit (or full payment, if booking within 60 days of departure) and received written confirmation from the Company. By making a booking, the Client agrees to be bound by these Terms & Conditions on behalf of all persons included in the booking.
2.1. Deposit: A non-refundable deposit of 30% of the total tour price is required to confirm your booking.
2.2. Final Balance: The full balance must be paid no later than 60 days prior to the scheduled tour start date. For bookings made within 60 days of departure, full payment is required immediately upon confirmation.
2.3. Payment Methods: We accept bank transfers (SWIFT) and major credit/debit cards via secure payment gateways. Any transaction fees imposed by banks or payment processors are the responsibility of the Client.
2.4. Price Guarantee: The tour price is guaranteed against any surcharge once the deposit is received, except for increases in government-imposed taxes or park fees, which may be passed on.
3.1. Cancellations must be received in writing. The following cancellation charges apply:
3.2. Changes: We will endeavor to accommodate changes requested after booking, subject to availability. An administrative fee of $50 per change may apply, plus any additional costs incurred (e.g., revised airfare, lodge fees).
4.1. We reserve the right to modify itineraries, accommodation, or transport due to unforeseen circumstances such as adverse weather, road conditions, park closures, political instability, or force majeure events. Suitable alternatives of comparable standard will be provided.
4.2. In the unlikely event we must cancel a tour (except for force majeure), we will offer the Client the choice of an alternative tour of similar standard or a full refund of all monies paid.
4.3. The Company is not liable for any incidental expenses the Client may have incurred (e.g., visas, vaccinations, non-refundable flights) in preparation for the tour.
The Company shall not be deemed in breach of contract or liable for any failure or delay in performance due to any cause beyond its reasonable control, including but not limited to acts of God, war, terrorism, civil unrest, industrial disputes, pandemics, natural disasters, or significant changes in government travel advisories.
6.1. Comprehensive travel insurance is mandatory for all clients. Your policy must cover, at a minimum: medical expenses (including emergency evacuation and repatriation), trip cancellation/interruption, baggage loss/delay, and personal liability.
6.2. Proof of insurance must be provided before the start of the tour. The Company reserves the right to deny participation to any client without adequate insurance, with no refund applicable.
7.1. The Client acknowledges that an African safari involves inherent risks and exposure to wild animals, remote locations, variable weather, and driving on rough terrain.
7.2. It is the Client’s responsibility to ensure they are medically fit for travel, have obtained all necessary vaccinations (including Yellow Fever), and carry sufficient supplies of any required personal medication.
7.3. The Client agrees to follow all instructions of guides, drivers, and lodge staff for their own safety and the safety of the group. The Company reserves the right to terminate the tour of any client whose behavior is deemed unsafe, disruptive, or illegal, without refund.
8.1. The Client is solely responsible for ensuring they possess a valid passport (with at least 6 months validity beyond the date of return), all necessary visas, and any other required travel documents for Tanzania and any transit countries.
8.2. The Company can provide general advice but is not responsible for denied entry due to improper documentation.
9.1. The Company acts as an intermediary between the Client and suppliers (lodges, camps, airlines, transport operators). We exercise care in selecting reputable suppliers but cannot be held directly liable for their acts, omissions, or defaults.
9.2. To the fullest extent permitted by law, the Company’s maximum liability for any claim relating to a tour shall be limited to the total price paid for that tour.
Should a problem arise during your tour, you must inform your guide and the Company’s office immediately to allow us the opportunity to resolve it. Failure to do so may affect any subsequent claim. If a matter remains unresolved, a formal complaint must be submitted in writing within 30 days of the tour’s completion.
We are committed to protecting your personal data as outlined in our separate Privacy Policy. Information provided will be used solely for the purpose of organizing your tour and will not be shared with third parties without your consent, except as required by service providers or law.
These Terms & Conditions shall be governed by and construed in accordance with the laws of the United Republic of Tanzania. Any disputes shall be subject to the exclusive jurisdiction of the courts of Tanzania.
